About the Role:

We are currently seeking an experienced Group Administrative Assistant to join our Director’s Office team. Reporting to the Managing Director, this position will be responsible for providing general administration across various departments. In addition, the Group Administrative Assistant will perform a backup role for the Executive Assistant. Your responsibilities:

  • General Administration: You will have the opportunity to be active in general office duties such as admin support, archiving, mail outs, binding, organising couriers, organising catering, invoice processing, managing internal and external meetings as required, organising business cards and name badges, co ordinating administration requirements for Compliance e-learnings plus any receptionist activities. You will have the opportunity to support the Finance team with adhoc administration as well.

  • Sales and Marketing Administration: It will also be great if you have experience in travel arrangements for group bookings and field-based employees. The ability to obtain quotes, organising bookings, invoice processing and reconciliation, arranging chargebacks for casual employees for accommodation and car hire. Creation of new employee profiles, ongoing maintenance of existing profiles and conduct training for the booking process as required. It will be great if you have some Marketing admin experience as you will have the opportunity to distribute promotional materials and support specialists’ representatives when required.

  • Event and Conference Coordination: Another exciting part of the role is conference coordination. This includes sourcing venue, site visits, managing a specific budget and coordinating details such as decor, catering, entertainment, transportation, location, invitee list, special guests, third party suppliers, agenda collation, equipment and promotional material. You will also work closely with the Executive Assistant in creating and managing feedback surveys for conferences and other events. During this process you can liaise with relevant travel and accommodation stakeholders on behalf of employees and Company visitors, including travel organisation.
